The problem

Fleet costs are visible only after they are incurred

Vehicles are tracked by phoning drivers. Maintenance happens when something breaks. Fuel spend is a line on a statement rather than a figure per vehicle per kilometre. The fleet is one of the largest cost centres in the business and one of the least instrumented.

  • No live view of where vehicles are
  • Servicing missed until a breakdown forces it
  • Fuel spend impossible to attribute per vehicle or route
  • Driver behaviour invisible until an incident
  • Utilisation unknown, so the fleet grows by assumption
What we build

Core modules

Live GPS tracking

Vehicle positions, routes travelled and journey history on one map, with geofencing and arrival alerts.

Maintenance scheduling

Service intervals by distance or time, automatic reminders, work order tracking and full service history per vehicle.

Fuel monitoring

Consumption per vehicle, per driver and per route, with variance flagging for the anomalies worth investigating.

Driver management

Licences with expiry tracking, assignment history, and behaviour metrics covering speed, harsh braking and idling.

Cost and financial reporting

Total cost of ownership per vehicle — fuel, maintenance, insurance, depreciation — so replacement decisions have numbers behind them.

Route and job scheduling

Job assignment to vehicles and drivers, with route planning and status updates from the cab.

Parts and vendor management

Parts inventory, supplier records and workshop job history in one place.

Compliance documentation

Registration, insurance and inspection records with expiry alerts before anything lapses.

Delivery

How we deliver it

Eight to fourteen weeks depending on telematics hardware and fleet size.

Book a CallBook a Call
  1. Weeks 1-2

    Fleet discovery

We audit the fleet, the existing tracking hardware and how maintenance and fuel are currently recorded.

  2. Week 3

    Design

Dispatcher, workshop and management views designed separately, plus the driver-facing mobile screens.

  3. Weeks 4-9

    Build and integrate

Tracking, maintenance and cost modules built and connected to your telematics and fuel card providers.

  4. Weeks 10-12

    Test on real vehicles

A pilot group of vehicles runs live so tracking accuracy and alert thresholds are tuned against reality.

  5. Weeks 13-14

    Roll out

Fleet-wide rollout with training for dispatchers, workshop staff and drivers.

Questions

Frequently asked

Usually not. Most telematics units expose an API or data feed we can consume. We audit what you have first and only recommend replacement where a unit genuinely cannot provide the data.

Better when it is framed and used as a safety programme rather than surveillance. We recommend agreeing thresholds and how the data will be used before launch — that decision affects adoption more than any feature.

Yes. Cars, trucks, plant and trailers can each carry different service schedules, cost models and compliance requirements.

Position data is buffered on the device and uploaded when connectivity returns, so the journey history stays complete even where live tracking drops out.
